Provide administrative support to the Chief Talent Officer, HR Managers and HR teams; including file creation, filing, answering phones, copying and scanning.
Assist with candidate prescreening activities, including, processing background checks and conducting employment verifications.
Assist with the data entry in HRIS of all paperwork received from the HR Team including new hire paperwork, terminations, status changes, etc.
Responsible for organizing all new hire paperwork and creating files for each new employee.
Maintain human resources files and employee records.
Respond to employment verification requests.
Archive employee files based on established record retention policy.
Post job openings with various job sites and maintaining tracking spreadsheet to ensure postings remain active as needed.
Schedule interviews, including sending out calendar appointments, confirmation emails and preparing interview folders for candidates.
Coordinate meetings, including scheduling, submitting video conference and hospitality requests, booking conference rooms and preparing materials.
Assist with recruiting initiatives including assembly of materials for career fairs and assistance with coordination of events held at the Firm.
Assist with Staff orientation preparation.
Research employment laws for updates and inform team regarding new developments.
Other duties, as assigned.
Qualifications (Experience, Knowledge, Skills and Abilities)
Bachelor's degree, required.
2 years of Human Resources experience is preferred.
Knowledge, Skills, and Abilities:
Proficiency with HRIS systems.
Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment.
Ability to utilize advanced features of Microsoft Office (Word, Excel, PowerPoint, Outlook).
Ability to use standard office equipment, including personal computer, copier, scanner, facsimile, telephone, etc.
Excellent organizational and communication skills with close attention to detail.
High level of interpersonal skills to build relationships across departments and offices.
Maintains employee confidence by keeping human resources information confidential.
Work Environment & Physical Demands:
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Sedentary work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects up to 10 pounds. Work involves sitting most of the time. Walking and standing is often necessary in carrying out job duties.
Finger Dexterity: Picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand as in handling.
